Full-Time Admissions/Administrative Assistant at Saint Mary Star of the Sea Catholic School (Hampton)

Saint Mary Star of the Sea Catholic School seeks an innovative, experienced, and collaborative Admissions/Administrative Assistant.

Candidates should possess a desire to work in a Christ-centered school and committed to the mission of Catholic schools.  The primary role for the Admissions/Administrative Assistant is to proactively work with school, faculty and staff, and community at large to manage all aspects of the admissions/enrollment process. As the first contact for prospective students/families, a successful candidate must enthusiastically recruit and welcome new families to the school community. Duties include working with prospective students/ families by reviewing applications, providing tours, setting up Open Houses, and evaluating applicants’ academic records.

Qualifications: Under the supervision of the principal, provides administrative assistance in support of school operations, conveying information regarding school functions and procedures; and supporting the broad array of services provided to students, parents, instructional and support employees. Ideal candidate should have:

  • Graduation from high school; Associate degree preferred supplemented by courses in business, marketing, or related administrative functions;
  • 2 years of experience in a school/general office setting preferred.
  • Ability to maintain student records utilizing Student Information System (SIS)
  • Ability to establish and maintain cooperative working relationships with others contacted in the course of daily duties
  • Ability to assess prospective student readiness for school enrollment
  • General knowledge of standard office practices, procedures, and equipment.
  • General knowledge of business English, spelling, and arithmetic; general knowledge of school system routine, personnel procedures and record keeping.
  • Ability to process paperwork accurately according to standardized procedures
  • Ability to maintain confidentiality of information regarding students, employees, and others
  • Highly organized, enthusiastic, and positive community interaction/ communication skills

Responsibilities:

  • Proactively manages all aspects of the school admissions/enrollment process.
  • Maintains admissions/enrollment files and records; supporting daily attendance, discipline, safety, student teacher reports, enrollment/admissions.
  • Responds to inquiries from students, parents and employees, providing information, facilitating communication among parties and/or providing direction
  • Prepares, copies, and distributes notices, memoranda, or other correspondence for the purpose of informing school employees regarding activities, events or other work-related matters
  • Assists in planning and scheduling school events and activities, and maintaining calendar of school and student events for the purpose of coordinating and scheduling events such as orientation, open house, field trips, sporting events, assemblies, conferences, etc.
  • Composes and Types letters, memos, reports, bulletins, requisitions, invoices, schedules, manuals, student files and records; in conformance with school policies
  • Makes morning, afternoon and periodic announcements;
  • Assist visitors to the office, including students, parents, substitutes teachers, and others
  • Evaluates situations for the purpose of taking appropriate action and/or directing to appropriate personnel for resolution

Start Date: Immediate hire; June 2024

Salary: Diocesan salary scale
