The Office of Facilities Management is seeking a full-time Facilities Specialist.This position serves as an official promoter and marketer for scheduling meetings and events in the Pastoral Center, and assists in the oversight of meetings or events, to include meeting room assignment, setup, clean up, catering, greetings or any other special requests.

The Specialist serves other administrative roles for the Facilitates Department. The specialist also helps all retreat centers with billing and revenue items as requested. This position also serves as backup to the receptionist regarding front desk duties. It is essential to provide friendly, courteous, polite and relevant customer service to internal and external employees and visitors.

This position requires a high school diploma or equivalent, plus 2 to 3 years’ experience in an administrative role, preferably in facilities management. Working knowledge of Microsoft Office packages, strong organizational and time management skills, an attention to detail, problem solving skills and excellent customer service skills are required. Prior purchasing experience in related areas is desired.

  • Help staff work with volunteers, and ensure that supervisory roles are clear for each volunteer
  • Execute a robust volunteer engagement and appreciation strategy
  • Prepare reports with volunteer service hours

The Associate Director for Communications will manage and provide overall strategic direction for Virginia Catholic Conference digital and written communications.  This position will serve as point of contact for news media outlets and work to build and maintain proactive media relations.  This position will draft, manage and promote website and social media content, engaging diocesan and partner communications offices.  Specific duties include developing and circulating press releases, statements, op-eds, parish bulletin content , brochures, flyers and  voter education resources.

Education/Experience Requirements:  Minimum of a Bachelor’s Degree in communications, public relations, journalism or related field is required. Five or more years of experience in media relations/public relations with proven strategic communication planning and skills is highly desired.  Qualified candidates will demonstrate knowledge of and commitment to Catholic teaching, interest in legislative advocacy, outstanding written and oral communication skills, and expertise in social and digital media platforms and strategies. Qualified candidates will also demonstrate strong project management skills and proven ability to write and develop clear messaging on complex issues. Candidates must be a practicing Catholic in good standing, and must understand the general operations of the Catholic Church at the parish, diocesan and national levels. The position is based in Richmond. It is full-time and will require some evening and weekend hours.

Position Overview

The Volunteer Engagement Coordinator is responsible for creating an environment for impactful and positive volunteer engagement at the Sacred Heart Center, thus providing meaningful opportunities for diverse people to further the work of the Center.

Key Responsibilities

The Volunteer Engagement Coordinator will have the following primary responsibilities:

Recruit, Place, and Support Volunteers and Engage Community Partners
  • Work with other staff to develop volunteer opportunities which meet Center needs
  • Recruit volunteers using VolunteerMatch and HandsOnRVA, as well as through other community networking opportunities; manage numerous monthly requests from people interested in volunteering; ensure continuous engagement with Latino community members for volunteer recruitment
  • Interview potential volunteers and give tours; train and onboard volunteers to Center mission, values, and needs; develop continuing education opportunities and provide ongoing support for volunteers
  • Maintain accurate volunteer profiles and service hours in Bloomerang database
  • Maintain volunteer orientation process and manual
  • Ensure volunteer background screenings and appropriate trainings required have been obtained to ensure compliance with Center and Catholic Diocese policies
  • Engage with partners and community by attending meetings, speaking to groups, and attending outreach and promotional events, and maintaining partnerships with area colleges and universities
Sustain volunteers
  • Survey volunteers to make sure their experience is satisfactory
  • Create a strategy to engage volunteers at all levels of our organization
  • Help staff work with volunteers, and ensure that supervisory roles are clear for each volunteer
  • Execute a robust volunteer engagement and appreciation strategy
  • Prepare reports with volunteer service hours
  • Ensure that all programs and volunteers are implemented and operating according to relevant policies and procedures
  • Complete all required reports as designated by funding sources
Other tasks
  • Be the point person for service project/done-in-a-day volunteers, including scheduling, planning, and logistics
  • Support additional administrative needs of office on an as-needed basis
  • Track and organize ongoing Center building needs in order to create tasks for volunteer groups and to improve the Center environment
  • Manage the donations room, the community garden, and their volunteers
  • Work as part of a team with other SHC staff to accomplish overall organizational goals
